Terms and Conditions

Please be advised that our terms and conditions have been created to ensure all guests have a safe, fair, and memorable experience at the retreat. Our terms and conditions are revised periodically. We reserve the right to amend/change these at our discretion. Any changes will be documented with an amended date at the bottom of this page.

Arrival and Departure

  • Check-in time is from 2.00 pm

  • Check-out time is prior to 11.00 am 

​

  • Early check-in or late check-out is available dependent on other bookings and upon request. Early check-in or out must be documented in email form. 

  • On arrival, guests will be shown their accommodation and asked to sign a waiver after attending a short briefing about the retreat.

  • We would appreciate your advice on any arrival after 6.00 pm.

Bookings

​

  • A 20% deposit is requested upon the time of booking to secure your glamping tent/s.  The remainder of your balance must be paid no less than 14 days prior to your stay. A reminder email will be sent out one week prior to your final payment date.

  • Accepted Payment Methods: When paying directly, we ask for a bank transfer, once the payment has been received, your booking is secure.  We do not have credit card facilities on site. If your group size increases near the time of your stay (after the 14-day payment period) and we can accommodate your request, we allow payment for the extra persons within 14 days of your arrival date.

  • For group bookings, we ask that we deal with just one member of the group for all communication. This just minimises the chances of any mistakes when dealing with your booking. 

  • All bookings must not be sold on. 

  • Bookings must be made by persons of 18 yrs +.

  • Only guests who have been officially booked into the retreat may stay onsite. Extra persons are not allowed on site unless prior discussion and organisation with the retreat management.

Liability

​

  • Guests will be liable for any loss or damage caused during their stay at the retreat. Examples of this include but not be limited to any breakages, destruction of property or equipment, excess cleaning requirement, etc. 

  • Guests entering the retreat understand it is set in a semi-rural bush location, has an abundance of wildlife on site, and has a number of unfenced and unmanned deep water sources/dams scattered throughout the grounds. Guests are responsible for their own water safety and wildlife safety. A safety briefing will take place for all guests at the commencement of their stay.

  • It is the responsibility of each guest to seek guidance and/or instruction from management for unfamiliar equipment/environments. 

  • Any persons failing to follow/comply with retreat signage, rules, and staff instructions or displaying violent, aggressive, or intoxicated behavior will be asked to leave immediately without a refund. 

  • The consumption or use of drugs and underage drinking is strictly prohibited. Please be aware authorities will be notified and instant termination of your stay without refund will occur. 

 

​Children

  • Children of all ages are welcome to stay at Challenge Chaser Retreat however they must always be under the constant supervision of a parent/adult guardian. Note: There are many open dams and waterways on the property which are not supervised. There are also wild and domestic animals on the property. Challenge Chaser Retreat and its staff take no responsibility for the care or supervision of children. 

  • Children and Infants may not stay in any room without an Adult.

  • Children and Infants sharing a room with their parents or guardians may do so at a reduced rate. 0 to 4 yrs are free of charge, 4 to 12yrs are $75.00 per head per night, and 12 to 15yrs are $100.00 per head per night.

Cancellations
Should you need to cancel or change the date of your reservation we ask that you advise us as soon as possible contact@challengechaserretreat.com.

  • Any cancellation/change of date request must be made via email.

  • Cancellations made;

    • 30 days prior to the arrival date will be refunded a full deposit.

    • 30 - 1 5 days prior to arrival date will be refunded 50% of a paid deposit

    • 14 - 3 days prior to arrival date will be refunded the cost of one's stay minus the deposit.

    • 3 days or less will not be given a refund and will incur the full fee of the total accommodation charge.

  • Variations of bookings will be at the management's discretion and are reserved for extenuating circumstances. If you are eligible for a refund, payment will be made to your disclosed account by bank transfer. 

  • If a variation is permitted, no further variations will be permitted beyond the initial variation. 

  • If we must cancel bookings due to government-declared pandemics or natural disasters, a credit will be issued (valid for 12 months).

  • Tariffs are non-refundable if your stay is cut short.

  • We encourage all guests to have adequate travel insurance.

In the event of a natural disaster (flood, bushfire)  guests will be credited their full stay, valid for a 12-month period. 

​

Unavailability

If the property becomes unavailable for your occupancy due to unforeseen circumstances (fire, flood, storm) management will endeavor to inform you immediately and will organise for credit (12 months) with your booking.

​

COVID policy

Any guest with a positive COVID RAT or PCR  must not enter the retreat. A photo of the positive test result with a date and time will need to be sighted via email by management for credit/refund as stated below.

  • For groups of four or fewer, affected by these individuals, a credit will be issued for either the Positive testing guest or the whole party.

  • For groups of four or more (not including a whole family), only the positive testing person will be given the option of credit or refund. 

As a small regional business, we appreciate your understanding and ongoing support.

Non-arrival
In the case, you have been unforeseeably delayed or you are unable to make your arrival date, please contact the retreat and management as soon as possible either by phone (leave a message if unable to speak with staff) or by email contact@challengechaserretreat.com. Should you fail to contact the team or arrive after 9 pm (unless prior organisation with management) on the scheduled day of your reservation, your reservation will be cancelled and any refund /credit for the entirety of your stay forfeited.

Rates and Minimum Length of Stay Requirements
Our rates vary by day of the week and season; weekends and school holidays are always in high demand.

A minimum of 2 nights stay is required for all bookings. 

​

Accommodation Capacity

The retreat holds four tents in total. Each tent has been set up to accommodate two adults however one to two smaller single beds can be placed in each tent for children and smaller adults.

  • No more than 4 persons per tent.

  • No more than 3 adults per tent. 

​

Off-grid facilities

  • The retreat has been designed to minimise its impact on the planet. That means the entire retreat is off-grid. Our tents and communal space are run on solar power and tank (drinkable) water. While we make every effort to ensure all facilities and equipment are functioning for your stay, we take no responsibility for refunding guests if this equipment fails. 

  • If a problem is experienced by guests during their stay it is imperative they inform the management as soon as possible so that every effort can be made to rectify the situation. 

  • Guests need to be aware that each tent has 2 x power outlets designed only for lamps, laptops, charging phones, and cameras. Any high-powered devices such as hair straighteners, blow dryers, heaters, electric blankets, etc will cause extensive damage to our system and will require the call out of an electrician which will be charged to the responsible guest.

If you have any medical equipment such as a CPAP machine, please advise as soon as possible so we can discuss/organise ways to support such equipment.  

​

Onsite Facilities

  • Guests are welcome to use the facilities provided onsite. These include the mineral pool, spa, volleyball court, outdoor games area, firepit, outdoor movie, frisbee golf course, gym rack, and indoor games. Every effort is made to ensure these are clean, safe, and user-friendly. Should there be any concerns with these facilities please advise management immediately. 

  • All efforts are made for guests to experience as many of the facilities as possible however sometimes these may not be available due to unforeseeable circumstances (NSW and local fire regulations, weather conditions, etc).

  • Guests have access to most of these facilities at their own discretion. They are responsible for their own safety when using these facilities. Should guests have any questions or concerns regarding these facilities they are encouraged to discuss them with management.

  • There is a small hobby farm on-site. Guests are welcome to attend animal feeding sessions each day. The times for these sessions will be discussed and organised on a daily basis. All animal enclosures and fenced-in areas are not to be entered by guests at any time unless with a staff member and given permission to do so. Although domesticated they are still wild animals and should not be handled without supervision.

Getting to the retreat

  • Please note there is approx 5- 6 km of gravel/dirt road when approaching the retreat. This road is perfectly driveable for both 2WD and All wheel drive vehicles. However in the unforeseeable event, the road is not accessible, management will endeavor to contact you as soon as possible. 

  • There are a number of other dirt/gravel roads scattered throughout the area and the road conditions may vary. 

  • We take no responsibility for any damage to your vehicle whilst driving on these roads or whilst using the private gravel/dirt driveway at the retreat.

  • Please also watch out for wildlife and children when driving on these roads.

  • The speed limit on site is 10km/hr.

There are no other transport options to the retreat apart from private vehicles. 

​

Parking

  • All guests are encouraged to drive up to the retreat on arrival to unpack their luggage. Guests will then be asked to park their cars in the uncovered parking area approximately 200 meters from the retreat near the front entrance. 

​

Smoking and drinking

  • We are heavily against smoking at the retreat and do not permit smoking in or anywhere near any of the buildings/tents. Depending on the season, we will advise on the designated smoking area.

 

  • We do not hold an alcohol license and are therefore unable to sell or serve liquor to any guests. We do however run as a BYO establishment.  Guests are welcome to bring their own alcoholic beverages and self-serve.  However if guests are seen to be intoxicated, they will be asked to stop drinking.

Small Pets and Animals

  • No guest pets/animals are allowed on the premises at Challenge Chaser Retreat. If animals are brought onsite, guests will be asked to leave without a refund.

​

Group Bookings

  • We encourage group bookings. 

  • Please advise us in advance if your party will be traveling together or separately.

  • Bookings of 7+ will automatically reserve the retreat for their own groups' private and exclusive use.

  • We welcome the opportunity to assist your party with advice on local activities, events, entertainment, and special experiences.  

  • Please contact the team a few days prior to your arrival should you request personalised group fitness sessions with our onsite personal trainer or a privatised group outing to be organised.

Environmental Policy

  • We constantly challenge ourselves to provide the right environment for our guests and team members through the promotion of environmental awareness. We train our team members to incorporate good environmental practices in all aspects of their work.

  • We also adhere to local and state environmental rules. These include, during fire bans, that no fires, under any circumstances are acceptable. Should local and /or state environmental rules be broken, guests will be asked to leave without any refund for the entirety of their booking.

Communications and Privacy

  • If you contact us by email or through this website you agree to allow us to contact you in the future which may include promotional material regarding upcoming events, special offers, or general information. We will never use your name and information for any other purpose nor provide it to any other party without your prior permission unless legally obliged to do so. Any communication that we may send you will include the opportunity for you to unsubscribe.
